Illustrative workflow examples

Agenda and packet reminders

Four example states for board meeting preparation.
Sample

Agenda-owner reminder

Planned · within 7 days

A manager can remind an assigned agenda-item owner when the owner’s reminder preference is enabled.

Packet publication approval

Approval required

Publication waits until the required approver records approval.

Member notification

Configured audience

When enabled, selected members or organization roles receive an email after publication.

Unpublished-packet follow-up

Planned · packet unpublished

When the reminder rule is enabled, the meeting owner receives an in-app reminder for an eligible planned meeting.

Meeting preparation, review, and publication

From agenda work to a published packet.

Keep each meeting's preparation and publication steps connected, with reminders, approvals, and audience notifications following the board's configured rules.

01

Agenda and packet management

  • Organize saved agenda items, meeting details, and packet materials around each meeting record.
  • Keep notes and document references connected to the meeting your board is preparing for.

02

Reminders and publication notifications

  • Agenda-item owners can receive an in-app reminder for a planned meeting within seven days when their reminder preference is enabled.
  • An enabled workflow can remind the meeting owner when an eligible upcoming planned meeting still has an unpublished packet.
  • When publication notifications are enabled, selected members or organization roles receive an email after publication.

03

Agenda and packet approvals

  • Submit an agenda for approval, record approval, or return it for changes.
  • Packet approval applies only when required by organization workflow or packet settings; publication waits for required approval.

04

Agenda and packet PDF exports

  • Download a PDF of a saved agenda.
  • Authorized members can download a published packet PDF with meeting and agenda details plus references to published Google Drive materials.
  • Source Drive files are not merged into the PDF. Sign-in, publication, and organization-role checks protect packet downloads.

05

Google Drive and Calendar links

  • With app Google OAuth configured and Google Workspace authorized by the organization, packet managers can search existing Drive files, including Google Docs, and link their metadata. File contents stay in Drive; only published links appear to packet readers and PDF references.
  • Search the organization’s primary Google Calendar and link an existing event to a meeting. This does not create events or sync changes.
